Reporting directly to the Director of Finance & Administration (F&A), the Controller assumes a pivotal role in shaping and maintaining the structural, financial, and operational framework of the organization, enhancing its capacity to fulfill its mission. This role encompasses oversight of internal controls, financial processes, and personnel management for a multi-million operation, encompassing responsibilities such as budgeting, auditing, general accounting, financial reporting, internal policy development, and the establishment, execution, and upkeep of financial systems. The Controller will actively contribute to empowering the Director of Finance & Administration (F&A) by supplying timely and precise analytical tools for the leadership team's decision-making process.

Key Responsibilities:

Financial Analysis & Oversight: Develop and maintain tools for comprehensive financial analysis. Keep the Director of F&A informed about any existing or emerging financial and cash flow concerns.

Accounts Payable Management: Lead the Accounts Payable (AP) cycle, including payment approvals and the preparation and input of AP records.

Accounts Receivable Optimization: Craft a receivables policy to minimize outstanding receivables. Oversee the preparation of all invoices and billings, including complex ones. Review and authorize invoices in the general ledger. Implement systematic receivables collection procedures.

Audit Coordination and Relations: Schedule audit fieldwork, coordinate all audit activities, and scrutinize selected schedules and journal entries prior to submission to auditors. Stay updated on nonprofit audit best practices and state and federal laws related to nonprofit operations.

Cash Receipts Handling: Manage all coding, deposits, data entry, and posting in the General Ledger (GL).

Contract Budgets and Accounting: Supervise contract reporting, encompassing contract applications, renewals, invoicing, monitoring, and reporting. Oversee contract accounting and provide regular updates on contract status to the Director of F&A.

Grant & Contract Management: Prepare and reconcile grant and contract reports, including contract applications, renewals, invoicing, monitoring, and reporting. Ensure the accuracy of invoicing and reporting, including reconciliation with supporting documentation and ledgers. Collaborate with the Grants & Contracts Coordinator and other departments, as well as liaise with funders when necessary.

Grant & Contract Budget Oversight: Develop, review, and adjust grant and contract budgets as needed, ensuring their execution and communication. Perform budget analysis for grants and contracts and promptly communicate results to the Director of F&A and relevant leadership team members.

Grant & Contract Compliance: Review all grant documents upon award to identify unique grant requirements and compliance issues. Establish and maintain systems and procedures to monitor and achieve compliance.

Collections Management: Assume responsibility for the timely collection of contract account receivables.

Budgeting and Maintenance: Coordinate the preparation of the annual budget, reviewing and modifying cost allocation methods as necessary, and ensuring their integration into the accounting system.

Key Metrics Development: Create key performance metrics for monitoring, as directed by the Director of F&A.

Payroll Administration: Oversee the payroll process, including reconciliations and GL posting.

Financial Reporting: Review and analyze monthly Statements of Revenue and Expense and Balance Sheets, identifying miscoding, data entry errors, and variances from the budget. After addressing inaccuracies, provide the Director of F&A with an analysis of the organization's financial position, performance, and key metrics.

Supervision: Supervise all accounting staff and oversee the portions of work carried out by billing staff.
