Job Details

We are seeking a highly organized and detail-oriented individual to join our team as a Payroll/Project Administrator. This hybrid role requires someone with a strong foundation in payroll processes and contract documentation. You will play a key role in ensuring accurate payroll, effective contract lifecycle management, and the smooth functioning of our office environment. You will have the opportunity to bring your experience to payroll function responsible for calculating, processing and reconciling payroll for our 300+.

Payroll Responsibilities:
  • A full-cycle payroll weekly process including: enter overhead hours, deduction maintenance, perform certified payroll wage rate verification and adjustments, process/setup/track garnishments, create and upload payroll check stubs.
  • Ensure compliance with union agreements, certified payroll reporting, and labor law requirements
  • Coordinate with superintendents and project managers to verify labor cost allocations
  • Process/submit Certified Payroll Reports for AGC employees through LCP Tracker or other required software.
  • Process layoff checks as necessary.
  • Prepare and file payroll-related tax documents such as 940s, 941s,
  • Create a weekly 401k deferral export file and upload to Fidelity.
  • Create FSA & HSA uploads and trouble-shoot issues with vendor and/or ESS.
  • Maintain accurate records and ensure timely reporting for tax payments and compliance.
  • Handle employee questions or issues.
  • Set up employee deductions
  • Manage timesheet submissions, leave balances, and deductions
  • Support audits and reporting related to payroll
  • Collaborate with HR and accounting teams to ensure accurate employee records and cost allocations

Contract Administration Responsibilities
  • Serve as liaison between office staff, field crews, and senior management
  • Maintain and organize project agreements and insurance certificates
  • Ensure all contract documents are properly executed and compliant with project and client requirements
  • Support project team with lien waivers, and bonding documentation
  • Performs other duties as assigned.

Qualifications:

  • Background in accounting.
  • High level of integrity and ethics.
  • 5+ years of experience in payroll, construction administration within a construction environment
  • Working knowledge of certified payroll processes and union labor agreements
  • Familiarity with lien releases, contract documentation, and AIA billing forms
  • Strong organizational skills with attention to accuracy and deadlines
  • Excellent organizational and communication skills.
  • Above average time management skills.
  • Ability to meet deadlines while working in a fast-paced environment.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Effective communication and teamwork skills to collaborate across departments.

Desired Knowledge, Skills and Abilities

  • Working knowledge of or experience in the horizontal construction industry.
  • Vista viewpoint construction accounting software a plus.
