Job Details

The Trust Administrator will play a pivotal role within our administration team, ensuring the efficient management of trusts and estates from inception to closure. This includes maintaining accuracy, timeliness, and compliance with relevant regulations. The role demands a proactive approach to client service, problem resolution, and coordination with internal and external stakeholders.

Estate and Trust Management:
  • Support the opening, settling, and closing of estates.
  • Administer all aspects of trust operations ensuring compliance with regulatory requirements.
  • Manage and oversee the administration of irrevocable life insurance trusts, including coordination with insurance agents and handling policy changes.

Financial Coordination:
  • Handle the cash management needs of client accounts, including deposits and distributions.
  • Manage financial activities related to the PC Foundation.
  • Oversee the collection of annual fees and payment of insurance premiums.

Tax and Legal Coordination:
  • Assist accountants with trust-related tax matters.
  • Coordinate the review, signing, and filing of trust tax returns.
  • Setup, track, and ensure timely payment of tax obligations.
  • Prepare and issue Crummey letters for client signatures.

Client and Third-Party Communication:
  • Respond to client requests promptly and efficiently.
  • Regularly coordinate the delivery of client information to trustees, attorneys, and CPAs.
  • Contact clients regarding gifts to trusts, explaining potential gift tax consequences and providing necessary insurance reports.

Documentation and Records Management:
  • Organize and manage electronic files and physical file folders in the firm’s Document Management System (DMS).
  • Ensure adherence to the firm’s record retention policy.

Client Engagement:
  • Prepare materials for and participate in client meetings as needed.
  • Assist with periodic reviews of policy viability and facilitate the surrender of policies when necessary.

The ideal candidate will have proven experience in trust administration within a law firm or similar professional environment. Strong organizational skills, attention to detail, and the ability to communicate effectively with diverse stakeholders are essential. Knowledge of financial management, tax matters related to trusts, and insurance policies will be advantageous.
