Responsibilities:

  • Provide comprehensive administrative support to the project management team, including scheduling, correspondence, and document control.
  • Coordinate and monitor project activities, ensuring all tasks are completed on time and within budget.
  • Serve as a primary point of contact for vendors, managing relationships and negotiating contracts to secure the best value for our company.
  • Oversee office operations, including inventory management, equipment maintenance, and office supply procurement.
  • Manage front desk duties, such as greeting visitors, handling incoming calls, and maintaining a professional and welcoming office environment.
  • Prepare regular reports on project progress and status, providing insights to guide strategic decision-making.
  • Assist in the creation and implementation of project plans and timelines, contributing to the successful execution of construction projects.
  • Coordinate and manage meetings, including agenda preparation, minute taking, and follow-up actions.

Qualifications:

  • Minimum of 5+ years of experience in an administrative role within the construction industry.
  • Proven experience in project coordination, vendor management, and office administration.
  • Exceptional organizational skills with the ability to manage multiple tasks, set priorities, and meet deadlines.
  • Strong communication and interpersonal skills to effectively liaise with team members, vendors, and clients.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
  • Experience managing a front desk, including handling incoming calls and greeting visitors.
  • Knowledge of construction processes and industry best practices is a plus.
  • Ability to work well in a fast-paced, team-oriented environment.
  • High school diploma required; associate's or bachelor's degree in a related field preferred.
