We are seeking a dynamic Consulting Administrative Assistant to join our Administrative team. The successful candidate will be a key player in maintaining our office's day-to-day operations and supporting our team to ensure a smooth and efficient workflow. This is an exciting opportunity to work in a fast-paced, professional environment where you will have the chance to make a real impact. The ideal candidate will have a minimum of 5 years of experience in a similar role and a strong understanding of administrative responsibilities.
Responsibilities:
1. Be the first point of contact for all visitors, greeting and directing them in a friendly and professional manner.
2. Manage incoming calls, including screening, forwarding, and taking messages, and assist in scheduling appointments.
3. Handle all mail and shipments, including sending and responding to emails, and managing printing and copying tasks.
4. Maintain company calendars, coordinate schedules, prioritize meeting requests, organize office events, and arrange all aspects of department meetings.
5. Receive and distribute mail, documents, packages, and courier deliveries.
6. Ensure office supplies are adequately stocked and reorder as necessary.
7. Perform administrative and clerical support tasks to assist the accounting, human resources, marketing, IT, operations, and sales teams.
8. Maintain daily cleanliness of common areas, including kitchens, bathrooms, coffee stations, conference rooms, and fridges.
9. Conduct daily inventory and restocking of community snacks and beverages fridges.
10. Perform other work-related duties and projects as assigned.
Qualifications:
1. A minimum of 5 years of experience in an administrative role, preferably in the Accounting and Finance industry.
2. Exceptional organizational skills and the ability to multitask and prioritize in a fast-paced environment.
3. Excellent communication skills, both written and verbal.
4. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
5. Strong customer service skills and a friendly, professional demeanor.
6. Proven ability to handle confidential information with discretion.
7. Detail-oriented and able to work independently and as part of a team.
8. Experience with inventory management and restocking supplies.
9. Willingness to take on additional tasks and responsibilities as needed.
