We are seeking a dynamic and experienced Permanent Administrative Assistant to join our fast-growing legal team. This is an exciting opportunity for someone who thrives in a high-paced environment and enjoys the challenges and rewards of working in the legal industry. The successful candidate will provide critical administrative support to our team of talented attorneys, helping to ensure the smooth operation of our office and the efficient handling of our clients' legal matters.

Responsibilities:

As our Permanent Administrative Assistant, you will play a vital role in our team. Your responsibilities will include:

1. Providing comprehensive administrative support to our legal team, including scheduling meetings, organizing files, and maintaining calendars.
2. Drafting and proofreading legal documents and correspondence, ensuring all materials are accurate and professionally presented.
3. Coordinating and managing client communications, ensuring all inquiries are handled promptly and professionally.
4. Assisting with legal research and case preparation as needed.
5. Managing billing and invoicing processes, ensuring all client accounts are up-to-date and accurate.
6. Coordinating with court personnel and other legal professionals to schedule hearings, depositions, and other important events.
7. Ensuring the confidentiality and security of all sensitive client information.
8. Assisting with other administrative tasks as needed, such as office management and event planning.

Qualifications:

To succeed in this role, you will need:

1. Exceptional organizational skills, with a proven ability to manage multiple tasks and deadlines simultaneously.
2. Strong written and verbal communication skills, with a keen eye for detail and a commitment to accuracy.
3. Proficiency in MS Office Suite (Word, Excel, PowerPoint, and Outlook), as well as familiarity with legal research software and databases.
4. A professional and courteous demeanor, with a strong commitment to providing outstanding service to our clients and team.
5. A high degree of discretion and confidentiality, with a thorough understanding of legal ethics and client privacy requirements.
6. A proactive approach to problem-solving, with the ability to anticipate needs and take initiative.
7. A flexible and adaptable attitude, with the ability to thrive in a fast-paced, dynamic work environment.
8. A high school diploma or equivalent is required; an associate's or bachelor's degree in a related field is preferred.
