We are seeking a Consulting Administrative Assistant to join our team. This role is integral to our operations and requires a candidate with a strong background in office operations, project support, and clerical tasks. The ideal candidate will have a minimum of 5 years of experience in a similar role and will be adept at multi-tasking in a fast-paced environment.
Responsibilities:
As a Consulting Administrative Assistant, your primary duties will include:
1. Managing office operations to ensure efficiency and productivity.
2. Handling filing and documentation, ensuring all paperwork is accurate and up-to-date.
3. Processing purchase orders and assisting with expense reporting.
4. Providing project support, including data entry and assisting with report preparations.
5. Performing clerical support tasks such as typing, answering incoming calls, and greeting visitors upon arrival.
6. Drafting memos and correspondence as needed, ensuring all communication is professional and accurate.
7. Organizing and sorting documents, maintaining a high level of organization within the office.
8. Setting up for meetings, including arranging logistics and preparing materials.
9. Opening and closing the front office, ensuring the space is welcoming and well-maintained.
10. Supporting other team members as needed, demonstrating a positive attitude and strong teamwork skills.
Qualifications:
To be successful in this role, candidates should have:
1. A minimum of 3+ years of experience in an administrative role, preferably within the construction industry.
2. Proficiency in office operations, including filing, documentation, and purchase orders.
3. Strong clerical skills, including data entry, typing, and answering phones.
4. Excellent communication skills, with the ability to draft professional memos and correspondence.
5. Strong organizational skills, with the ability to manage multiple tasks simultaneously.
6. A positive attitude and the ability to work well as part of a team.
7. Experience with expense reporting and report preparation.
8. A high level of professionalism, with the ability to greet visitors and handle incoming calls with poise.
9. The ability to set up for meetings and maintain a clean and organized office space.
