A bit about us:

Under the direction of the Estimator, the Bid Coordinator will co-ordinate and produce the proposal (RFI, ITT, RFP etc.) document. Responsibilities include introduction and implementation of all necessary document version control procedures and processes. This role requires the highest levels of attention to detail and an ability to work under pressure and demanding deadlines.

Job Details

Job Duties:

  • On sole source bids a copy of RFP goes to Admin

  • Notify sub of our bonding requirement in request for Bid

  • Distribute blank copy of subcontract agreement to bidders

  • Prepare PM folder with final version of Bid and supporting documentation

  • Archive old documents and package with current/applicable documents at the forefront. Including B&F Estimate and back up.

  • Vehicle Maintenance tracking (oil, tire rotation, mileage tracking etc.) report date to the Accounting Manager

  • NIB and keep current log off all subs bidding

  • Attend site walks if necessary

  • Bid Bond requests

Skills/Qualifications:

  • Bid coordinators need to be able to identify and correct errors in writing, such as typos and missing commas.

  • Bid coordinators need to understand how to define project scopes, manage timelines, and allocate resources

  • Bid coordinators need to be able to analyze bids and identify the best value for a client's project.

  • Bid coordinator need to be able to craft responses to RFPS, ITTS, and RFIs.

  • Bid coordinators need to be able to work collaboratively with different teams.

  • Bid coordinators need to be able to develop procedures, make important decisions, and assign tasks to other team members.

  • Bid coordinators also need to have excellent communication skills and the ability to work in a fast-paced environment.
