Job Details


  • Executive & Operational Support: Provide strategic and operational support to the COO, including preparing agendas, briefing materials, tracking decisions, and managing follow-up actions.
  • Coordinate cross-functional projects and special initiatives, monitor progress, identify risks, and escalate issues as needed.
  • Exercise independent judgment to prioritize work and support executive objectives in a fast-paced environment.
  • Manage and enhance the Office of the COO's operating rhythm, including leadership meetings, action items, reporting, and cross-department coordination.
  • Develop and improve workflows, operating procedures, governance processes, and document management systems.
  • Utilize technology, automation, AI tools, and templates to increase efficiency while maintaining confidentiality and compliance.
  • Prepare executive communications, reports, presentations, and decision-support materials for senior leadership and board-level audiences.
  • Conduct research, analysis, and information synthesis to support strategic initiatives, executive briefings, and special projects.
  • Coordinate meeting materials, logistics, and follow-up actions for internal and external engagements.
  • Stakeholder Management: Serve as a professional liaison between the COO, executives, departments, and external stakeholders.
  • Coordinate executive support activities, including travel arrangements, expense reporting, and special projects as needed.

Education and Experience
  • Bachelor’s degree or equivalent work experience preferred.
  • Notary Commission preferred or ability to obtain as needed.
  • Preferred candidate will have 5 or more years of progressively responsible experience in executive support, chief of staff support, office operations, program management, consulting, communications, analysis, or a comparable executive office environment.
