About the Role
Are you a highly organized, proactive professional who thrives in a fast-paced environment? Our client is looking for a dynamic Executive Assistant to provide top-tier administrative and operational support to a high-level executive. This role is perfect for someone who excels at multitasking, managing complex schedules, and handling sensitive information with discretion—all while keeping business operations running seamlessly.
As a trusted partner, you’ll not only anticipate the executive’s needs but also take the lead in optimizing their time and efficiency. Whether it’s coordinating intricate travel plans, scheduling high-profile meetings, or preparing key reports, you’ll play a critical role in driving productivity and ensuring the executive stays focused on strategic priorities.
Key Responsibilities
  • Be the Executive’s Right Hand: Provide high-level administrative support, managing emails, and phone calls.
  • Master of Schedules & Travel: Own calendar management, prioritize meetings, and handle complex travel arrangements across multiple time zones.
  • Strategic Time Management: Develop a deep understanding of business priorities to proactively structure the executive’s schedule for maximum efficiency.
  • Meeting Preparation & Follow-up: Schedule, organize, and prepare materials for internal and external meetings, ensuring all follow-up actions are completed.
  • Confidential & Critical Communications: Serve as a key liaison between the executive and internal/external partners, handling sensitive matters with professionalism and discretion.
  • Seamless Operations Management: Lead expense reporting, office coordination, and administrative processes to support the Washington, DC office.
  • Executive Representation: Act as an extension of the executive, exercising good judgment and ensuring they are always prepared for commitments.
  • Collaboration & Relationship Building: Work closely with other executives, departments, and administrative teams to keep operations running smoothly.
Who You Are
  • A highly organized professional with exceptional time management and the ability to juggle multiple priorities.
  • A problem solver who thrives in fast-paced, high-pressure environments.
  • A strong communicator with excellent interpersonal skills and a keen attention to detail.
  • Experienced in working with C-suite executives, government agencies, trade associations, or global organizations.
  • Tech-savvy, with proficiency in Outlook, Zoom, Microsoft Teams, SharePoint, and PowerPoint.
  • A proactive thinker who can anticipate needs and adapt quickly to shifting priorities.
Preferred Qualifications
  • Experience in government relations, a Congressional office, or a trade association is a plus.
  • Previous experience working with executives in a global capacity.
