Key Responsibilities
Qualifications
- Provide high-level administrative support to C-suite executives, including calendar management, correspondence, meeting coordination, and handling confidential information with discretion.
- Manage complex executive calendars, schedule internal and external meetings, and ensure all meeting materials and logistics are prepared in advance.
- Coordinate and execute corporate events, including venue selection, vendor management, budgeting, and on-site logistics.
- Arrange and manage domestic and international travel, including flights, accommodations, transportation, and detailed travel itineraries.
- Prepare, review, and submit executive expense reports accurately and in a timely manner.
- Assist with the development, distribution, and tracking of marketing initiatives using HubSpot, including campaign performance reporting and database management.
- Create, edit, and maintain professional documents, presentations, reports, and communications using Microsoft Office Suite and Outlook.
- Serve as a liaison between executives, internal departments, clients, and external partners.
- Support Accounting and Finance teams with administrative projects and operational initiatives as needed.
- Manage multiple priorities and special projects simultaneously while maintaining exceptional attention to detail and meeting deadlines.
Qualifications
- 5+ years of experience supporting senior executives in an Executive Assistant or similar high-level administrative role.
- Prior experience within the financial services, investment, accounting, or finance industry preferred.
- Demonstrated expertise in executive calendar management, event planning, travel coordination, and expense reporting.
- Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Hands-on experience with HubSpot, including CRM management, marketing campaigns, and reporting.
- Strong understanding of marketing concepts and the ability to support marketing initiatives and communications.
- Proven ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Exceptional organizational, time-management, and project coordination skills.
- Excellent written and verbal communication skills with the ability to interact professionally with executives, clients, and stakeholders.
- Highly adaptable, resourceful, and capable of thriving in a fast-paced, deadline-driven environment.
- Strong analytical and problem-solving abilities with meticulous attention to detail.
- Bachelor's degree in Business Administration, Finance, Accounting, Marketing, or a related field preferred.
