We are seeking a committed and resourceful Executive Assistant to join our dynamic legal team. This role will provide comprehensive administrative support to our senior partners. The ideal candidate must be detail-oriented, have excellent organizational skills, and be able to handle sensitive information confidentially. This position requires a minimum of 5+ years of experience in the legal industry.
Responsibilities:
1. Keep attorneys apprised of upcoming deadlines; prioritize tasks
2. Managing attorneys’ calendars, scheduling meetings, and appointments, ensuring no conflicts.
3. Drafting, editing, and proofreading legal documents and correspondence.
4. Make travel arrangements. Prepare expense reports.
5. Maintaining a well-organized filing system for easy retrieval of legal documents.
6. Liaising with clients and opposing counsel.
7. Preparing invoices and tracking payments.
8. Coordinating with others to ensure efficient office operations.
9. Assisting with the preparation of court hearings and trials.
Qualifications:
1. A minimum of 5+ years of experience as an executive assistant supporting an attorney, legal secretary, or similar role.
2. Proficient in all Microsoft applications including Word, Excel, PowerPoint, and Outlook.
3. Exceptional calendar management skills, with the ability to manage multiple calendars simultaneously.
4. Strong knowledge of legal terminologies, regulations, and court system.
5. Excellent written and verbal communication skills.
6. Exceptional attention to detail and the ability to work in a fast-paced environment.
7. Ability to maintain confidentiality and handle sensitive information with discretion.
8. Strong organizational skills with the ability to prioritize tasks.
9. Ability to work independently and as part of a team.
10. Knowledge of e-filing systems and legal databases.
