Our organization is seeking a dynamic and experienced Permanent Executive Assistant to join our team. This is an excellent opportunity for a professional with a strong background in executive support, who thrives in fast-paced environments, and has a passion for numbers. The successful candidate will be responsible for providing comprehensive support to our senior leadership team, coordinating logistical details, managing calendars, and handling expenses. This role requires excellent attention to detail, the ability to work independently, and strong organizational skills. If you have a knack for problem-solving and a proactive attitude, we would like to meet you!
Responsibilities:
1. Provide comprehensive administrative support to the executive team, including but not limited to managing an extremely active calendar of appointments, completing expense reports, and composing and preparing correspondence.
2. Plan, coordinate, and ensure the executive's schedule is followed and respected; provide a "gatekeeper" and "gateway" role for direct access to the executive's time and office.
3. Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination.
4. Assist in preparing complex reports and analysis using various software packages and databases.
5. Act as the primary point of contact among executives, employees, clients, and other external partners.
6. Manage the flow of information to members of the executive leadership team.
7. Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
Qualifications:
1. Bachelor’s degree in Business Administration, Accounting, Finance, or related field.
2. Minimum of 5 years of experience as an Executive Assistant reporting directly to senior management, preferably in the Accounting and Finance industry.
3. Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
4. Proficiency in collaboration and delegation of duties.
5. Exceptional interpersonal skills and a friendly and professional demeanor.
6. Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
7. Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
8. Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
9. Proven experience in managing expenses and calendar management.
10. Strong knowledge of office procedures and basic accounting processes.
