We are currently seeking a dynamic and proactive Permanent Executive Assistant to join our thriving team in the home services industry. This role is integral to the smooth operation of our business, providing high-level support to our CEO. The successful candidate will have a passion for organization, a keen eye for detail, and the ability to anticipate needs and solve problems before they arise. We are looking for a "Donna!"
Responsibilities:
As a Permanent Executive Assistant, you will be responsible for a wide range of tasks including, but not limited to:
1. Managing the CEO's calendar, scheduling meetings, and appointments while ensuring all obligations are met.
2. Coordinating travel arrangements including flight and hotel bookings, transportation, and preparing detailed itineraries.
3. Handling personal tasks for the executive such as picking up dry cleaning, scheduling reservations, and other personal errands.
4. Assisting in the preparation of reports, presentations, and correspondence.
5. Acting as a liaison between the executive and other staff members, maintaining open lines of communication.
6. Ensuring the smooth operation of the office, managing supplies, and coordinating with vendors.
7. Providing proactive support, anticipating the executive's needs, and staying one step ahead to ensure efficiency.
8. Using problem-solving skills to address and resolve issues that may arise, ensuring minimal disruption to the executive's schedule.
Qualifications:
To be successful in this role, you will need:
1. A minimum of 5 years of experience in an Executive Assistant role, with experience supporting a CEO.
2. Exceptional organizational skills, with the ability to manage multiple tasks and projects simultaneously.
3. Strong attention to detail, ensuring accuracy in all tasks.
4. Excellent calendar management skills, with the ability to schedule and prioritize effectively.
5. Experience in a start-up environment, with the ability to adapt to changing priorities and work under pressure.
6. Proactive approach, with the ability to anticipate needs and solve problems before they arise.
7. Strong interpersonal skills, with the ability to build relationships with staff, clients, and vendors.
8. Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
9. A valid driver's license, as personal errands for the executive may be required.
10. A high level of discretion and confidentiality, as you will be handling sensitive information.
