Our esteemed healthcare organization is seeking a highly organized, detail-oriented, and experienced Permanent Executive Assistant to join our team. This role is integral to the smooth operation of our organization, providing high-level administrative support to our senior executives. The ideal candidate will be an excellent communicator, a multitasker with a strong sense of initiative, and a problem-solver who thrives in a fast-paced environment. Responsibilities:
1. Manage and maintain executive schedules, including planning and scheduling meetings, conferences, teleconferences, and travel arrangements.
2. Coordinate communication between executives and internal/external stakeholders, ensuring information is passed on timely and accurately.
3. Prepare comprehensive and accurate reports, presentations, and other crucial documents.
4. Handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
5. Act as the point of contact for executives, employees, clients, and other external partners.
6. Manage and oversee special projects, coordinating with other departments as necessary.
7. Review and approve office supply acquisitions, maintaining an efficient inventory system.
8. Conduct and compile research on various topics as directed by executives.
9. Assist in the preparation and coordination of executive participation in various forums such as board meetings, conferences, and presentations.
Qualifications:
1. A minimum of 5 years of proven experience as an Executive Assistant or similar administrative role.
2. Experience in the healthcare industry is preferred.
3. Exceptional organizational skills and the ability to prioritize tasks effectively.
4. Excellent verbal and written communication skills.
5. High proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
6. Ability to handle sensitive information with the highest degree of integrity and confidentiality.
7. Strong problem-solving skills and the ability to think strategically.
8. Demonstrated ability to work effectively both independently and as part of a team.
9. Bachelor's Degree in Business Administration or a related field is preferred.
10. Experience with project management and process improvement is a plus.
