The Procurement Specialist role represents the bridge between IT Delivery and Business Development departments at our organization.
This role works closely with technical resources, business development, and our vendor partners to help scope and configure solutions, then price, order, and track the components to our solutions that meet clients’ business needs.
The Procurement Specialist is responsible for executing and improving the processes that turn a client request for a product/license/subscription into an executable statement of work within our quoting and ticketing systems.

Travel Requirements:
Depending upon assignments, this position may require travel to and from client offices, conferences and training as needed. Our Procurement Specialist are expected to maintain reliable personal transportation (business related travel costs are reimbursed by the company as per company policy).

The Procurement Specialist is responsible for executing and improving the processes that turn a client request for a product/license/subscription into an executable statement of work within our quoting and ticketing systems.
Responsibilities also include:
- Learning vendor partner programs and tools,
- Assisting with order logistics,
- Addressing license/subscription renewals,
- Maintenance/warranty agreements for client components
- Working with business development to deliver quotes and documents in an accurate, timely manner.
Essential Duties and Responsibilities:
- Handling new and existing “quote requests” through the PSA system to ensure timely processing and information availability to the entire organization.
- Utilizing Vendor/Partner portals for deal registration, pricing, ordering, RMA, and delivery information
- Placing orders with appropriate vendors and tracking status
- Creating and updating Configuration records in the PSA system to assure information availability and renewal reminders
- Managing the receipt of physical and digital components used in client solutions. Updating systems to reflect product receipt and informing internal staff of availability for install/configuration work.
- Registering and activating product/license keys as appropriate
- Documenting information on hardware and licensing critical to support and future renewal opportunities
- Completion of Vendor/Partner training required for competency/certification
- Recommending policies and procedures to improve procurement operations
- Assisting Business Development in pre-sale budgetary estimates and planning documents
- Working with the IT Operations group to provide information needed to help them execute their support functions.
- Other duties as assigned.

Required Qualifications:
- Experience working with technical resources (engineers, and work and system admins)
- Experience with technical products/components including PCs, servers, networking equipment and storage
- Experience with licensing/subscription software including Microsoft, Adobe, VMware
- B.A. or B.S. in related field of study
- 3+ years of customer facing experience
- Familiarity with B2B relationships
- Excellent verbal and written communication skills
- Excellent customer service skills
- Consistent attention to detail
- Experience in technology vendor relationships and management
- Experience with ticketing and PSA systems
- Experience with creating, updating and following internal processes
Preferred Qualifications:
- Experience with ConnectWise or a similar managed services operations platform to manage the workflow and process for handling requests
- Experience with ConnectWise Sell or a similar automated quoting tool for development, delivery and tracking of orders
- Desire to learn new technologies
- Experience working in a Managed Services Provider environment
- Experience scoping or building solutions for business IT infrastructures
- Strong organizational and analytical skills
- Self-starter with the ability to use systems and coordinate resources to generate desired results
