Job Details

Responsibilities
  • Provide comprehensive litigation support from case inception through trial.
  • Manage attorney calendars, including hearings, depositions, mediations, client meetings, and trial dates.
  • Prepare, revise, proofread, and e-file pleadings, motions, notices, subpoenas, correspondence, and other legal documents in Florida state and federal courts.
  • Coordinate depositions, mediations, expert witness schedules, and court reporting services.
  • Maintain and organize electronic and physical case files, ensuring accuracy and compliance with court deadlines.
  • Track litigation deadlines, scheduling orders, and case management requirements.
  • Prepare trial notebooks, witness and exhibit binders, exhibit lists, and other trial materials.
  • Coordinate with clients, healthcare providers, insurance carriers, opposing counsel, court personnel, and expert witnesses.
  • Assist with discovery, including document productions, subpoenas, medical records, and deposition materials.
  • Monitor incoming filings and correspondence and proactively manage attorney workflow.
Qualifications
  • 5+ years of litigation legal assistant experience in a law firm environment.
  • Experience supporting medical malpractice defense, insurance defense, or complex civil litigation preferred.
  • Strong knowledge of Florida state court procedures and e-filing; federal court experience is a plus.
  • Experience preparing trial materials and coordinating all phases of litigation.
  • Strong calendaring skills
  • Exceptional organizational, time management, and multitasking skills.
  • Ability to prioritize competing deadlines in a fast-paced litigation practice.
  • Strong written and verbal communication skills with a high level of professionalism.
  • Proficiency with Microsoft Office and common legal case management/document management systems.
Preferred Background
  • Experience supporting a shareholder, partner, or senior trial attorney.
  • Familiarity working with medical experts, healthcare providers, insurers, and complex defense litigation.
  • Comfortable working independently while proactively anticipating attorney and case needs.
