Job Details

We are seeking a dynamic and proactive Legal Administrative Assistant to join our team. This is a permanent, full-time position that offers a unique opportunity to work in a fast-paced, high-energy environment. The ideal candidate will have a strong background in attorney administrative support, with a specific focus on legal documentation and correspondence. This role requires a high level of organization, attention to detail, and the ability to manage multiple tasks simultaneously. The candidate will have the opportunity to interact with various departments, providing a comprehensive understanding of our legal operations, and support two attorney's in the corporate healthcare practice.

Responsibilities:

  • Provide full administrative support to a team of attorneys, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Prepare, edit, and proofread legal documents and correspondence, ensuring accuracy and compliance with applicable legal standards and regulations.
  • Manage data entry tasks, ensuring that all information is accurate and up-to-date.
  • Assist in the preparation and management of case files, including organizing and indexing legal documents.
  • Use software such as iManage, Aderant, and InTapp to manage case information, track time, and generate reports.
  • Maintain a high level of confidentiality in all interactions.
  • Participate in team meetings, taking minutes and tracking action items as necessary.
  • Coordinate with other departments to gather and exchange information as needed.

Qualifications:

  • 3+ years of experience in an administrative or paralegal role, within a legal environment.
  • Bachelor's degree or equivalent experience in a related legal field is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Strong data entry skills, with an emphasis on accuracy and attention to detail.
  • Excellent organizational skills, with the ability to manage multiple tasks and priorities simultaneously.
  • Experience with legal documentation and report preparation.
  • Familiarity with legal management software, specifically iManage, Aderant, and InTapp are preferred.
  • Exceptional communication skills, both written and verbal.
  • Ability to work both independently and as part of a team.
  • High level of discretion and confidentiality.
