We are seeking an experienced Legal Secretary who is specialized in Trusts, Estate and Private Client work to join our dynamic legal team. You will be working closely with our attorneys, providing comprehensive administrative support, and assisting with a variety of trust and estate matters. This position is an excellent opportunity to utilize and expand your skills in a challenging and rewarding environment. The ideal candidate will have a strong background in private clients, wealth planning, Microsoft Office Suite, transcription, time entry, and calendaring.

Responsibilities:
  • Provide full administrative and legal support to a team of attorneys specialized in trust and estate law.
  • Manage and coordinate attorneys' schedules, appointments, meetings, and deadlines.
  • Prepare and edit legal documents, correspondence, and reports.
  • Transcribe legal dictation and ensure all transcription is accurate and completed in a timely manner.
  • Handle time entry tasks, accurately recording all billable and non-billable hours.
  • Assist with wealth planning tasks, including the preparation of wills, trusts, and estate plans.
  • Maintain client files, ensuring all relevant documentation is properly filed and updated.
  • Use Microsoft Office Suite to create and manage spreadsheets, presentations, and databases.
  • Communicate effectively with clients, providing them with updates and answering their queries.
  • Ensure all legal procedures are followed and comply with confidentiality and data protection laws.

Qualifications:
  • Minimum of 5 years of experience as a Legal Secretary, preferably in Trust and Estate law.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Experience with private clients and wealth planning is a must.
  • Excellent transcription skills with a high level of accuracy and attention to detail.
  • Experience with time entry and calendaring software.
  • Strong knowledge of legal terminology, procedures, and documentation related to Trust and Estate law.
  • Excellent communication and interpersonal skills, with the ability to handle sensitive information with discretion.
  • Strong organizational skills, with the ability to multitask and manage time effectively.
  • High level of professionalism, integrity, and ethical judgment.
  • A degree in law, paralegal studies, or a related field is preferred.
