Job Details
We are seeking a dynamic and experienced Permanent Litigation Legal Secretary to join our thriving Legal team. This role is integral to our firm's success and offers an exciting opportunity to support multiple attorneys in our Litigation department. The ideal candidate will have a minimum of 10 years of experience as a legal secretary, specifically within a business law practice. This role requires a high level of expertise in e-filing and multi-document filings in Federal, Circuit, and State courts. The successful candidate will assist attorneys in preparing litigation cases from onset through post-trial. This position also involves managing scheduling and travel arrangements for the attorneys.
Responsibilities:
1. Provide high-level secretarial and administrative support to three or more attorneys in the Litigation department.
2. Assist attorneys in preparing litigation cases from onset through post-trial. This includes drafting pleadings, discovery, and other legal documents.
3. Manage complex calendar and scheduling for attorneys, including coordinating depositions, court hearings, and other litigation-related appointments.
4. Handle multi-document filings in Federal, Circuit, and State courts, including E-filings.
5. Coordinate travel arrangements for attorneys, including booking flights, hotels, and arranging ground transportation.
6. Maintain an organized and up-to-date case file system.
7. Liaise with clients, court officials, and other legal professionals in a professional and courteous manner.
Qualifications:
1. A minimum of 10 years of experience as a legal secretary, preferably within a business law practice.
2. Expertise in e-filing and multi-document filings in Federal, Circuit, and State courts.
3. Proven experience in assisting attorneys in preparing litigation cases from onset through post-trial.
4. Demonstrated ability to manage complex calendars and coordinate travel arrangements.
5. Bachelor’s Degree or equivalent experience preferred.
6. Excellent written and oral communication skills.
7. High level of professionalism and discretion.
8. Strong organizational skills and attention to detail.
9. Ability to work effectively under pressure and meet tight deadlines.
10. Proficiency in Microsoft Office Suite and legal research software.
11. Familiarity with legal terminology and procedures.
12. Ability to work both independently and as part of a team.
