Responsibilities:
Qualifications:
- Travel Management: You will be responsible for coordinating domestic and international travel arrangements for senior staff members, ensuring all travel and accommodation requirements are met efficiently and cost-effectively.
- Event Planning: You will take the lead in organizing company events, meetings, and conferences, ensuring smooth operations and successful outcomes.
- Gatekeeping: You will be the first point of contact for visitors and incoming calls, screening and directing inquiries appropriately, and maintaining a professional and welcoming environment.
- Calendar Management: You will manage multiple calendars for senior staff members, scheduling appointments, meetings, and reminders to ensure efficient time management.
- Mentoring: You will provide guidance and support to other administrative staff, fostering a positive and collaborative team environment.
- Confidentiality: You will handle sensitive information with utmost discretion, maintaining strict confidentiality at all times.
- Setting up Conference Rooms: You will be responsible for setting up and breaking down conference rooms for meetings and events, ensuring all necessary equipment and materials are available and functioning properly.
Qualifications:
- A proactive attitude, with the ability to anticipate needs and take initiative.
- A minimum of 5 years of experience as a Receptionist or in a similar administrative role
- Exceptional organizational and multitasking abilities, with strong attention to detail.
- Proficiency in travel management, event planning, gatekeeping, and calendar management.
- Experience in mentoring and team leadership.
- A strong commitment to confidentiality and professional ethics.
- Excellent communication and interpersonal skills, with a customer service-oriented approach.
- Proficiency in Microsoft Office Suite and other relevant software.
- The ability to work independently, prioritize tasks, and make sound decisions.
