Job Details
The Project Assistant / Project Coordinator will play a key role in ensuring matters and initiatives are executed efficiently, on time, and in alignment with client expectations.
This individual will support project planning, tracking, reporting, and communication across teams, with a strong focus on organization, accuracy, and responsiveness.
Key Responsibilities
Assist with planning, coordinating, and tracking legal projects and client matters from inception through completion
Maintain project timelines, task lists, and deliverables; follow up with internal teams to ensure deadlines are met
Prepare and organize project documentation, status reports, and internal summaries
Coordinate communication among attorneys, paralegals, consultants, and clients as needed
Support budgeting and cost tracking by monitoring expenses, invoices, and project-related data
Schedule and organize meetings, prepare agendas, and document action items
Assist with matter intake, file organization, and data management within firm systems
Identify potential project issues or risks and escalate appropriately
Provide general administrative and project support to attorneys and firm leadership as needed
Qualifications
Bachelor’s degree preferred; relevant experience may be considered in lieu of degree
2+ years of experience in a project coordination, legal assistant, or professional services support role
Prior experience in a law firm or construction/real estate–related environment
Strong organizational and time-management skills with the ability to manage multiple priorities
Excellent written and verbal communication skills
High level of attention to detail and commitment to accuracy
Proficiency with Microsoft Office (Word, Excel, Outlook); familiarity with document management or project management tools preferred
Ability to work independently while collaborating effectively with cross-functional teams
