- Oversee and responsible for Residential Property Portfolio operations
- Responsible for managing all local managers and staff under the residential umbrella
Overall Qualities & Needs
- Communication, transparency & quickness of response a must
- Knowledge in the following tech areas
- Property management software (yardi a plus)
- Google Docs or Microsoft Office
- Computer literate (usage of shared files, etc.)
- Ability to communicate and negotiate with fellow employees, tenants, clients and 3rd party
- Transportation for property visits (1-3x per week or as needed)
Broker Relations
- Proof-reading and negotiating commission contracts and agency agreements
- Investigating, researching and possibly contacting various local and regional brokerages as needed
- Maintaining positive relationship/attitude for maximum agent happiness/effort
Marketing
- Updating brokers/agents on building floor plans, vacancies, and various means of advertising accuracy
- Coordinating with brokers/agents on showings and access (key/lock arrangements)
- Provide analysis on broker/agent’s marketing effort
- Sign creation and ordering
- Website updates, information, etc.
- Brainstorming new and different ways of marketing and reaching out to prospective tenants
Leasing
- Understanding, delegating and assisting in the full leasing procedure of the company
- Working with Regional and local managers to help maintain and update various leasing forms needed (ex. Lease extensions/addendums, application forms, notice letters)
- Liaising with agents in pending leases for assistance and accuracy
- Renewals - working with local managers and agents on providing:
- Notice to tenants
- Renewal rates depending on property, etc.
- Timely correspondence
Finance & Reporting
- Understanding and utilizing various reporting tools (rent roll, vacancy reports, floor plans)
- Delinquency reporting
- Coordinating with bookkeeping and local managers on past due accounts and strategize on best way to contact tenants and best ways to collect outstanding balances
Tenant Relations
- Able to negotiate and maintain high quality relationships with tenants
- Sending out important reminders
- Creating unique ways of friendly relations (ex. Birthday cards)
- Maintenance notice
- Inspection notice (fire alarm, backflow, etc)
- Lease notices
- Communication through emails and phone calls utilizing a quick response
- Making sure protocols are set and followed for tenant communication and response (ex. Emergency calls)
Construction & Maintenance
- Coordinating with maintenance team for work orders/maintenance calls upon request
- Working with construction supervisor and maintenance team on overseeing scheduling for construction & renovation efforts for upcoming leased units
- Maintaining clarity and approved budgeting for construction & renovation efforts
- Liaising with contractors and 3rd parties for various capital improvements & projects
- Inspecting properties and locations on a regular basis to maintain quality of services (housekeeping, landscaping, etc)
- Coordinating with maintenance team for preventative maintenance work (winterization, HVAC filter replacements, etc)
- Being able to understand and read floor plans and site maps on a generic level
Material Inventory & Ordering
- Making sure properties have proper levels of sanitary, routine maintenance & other various materials needed for building upkeep
- Sign ordering (parking, leasing, etc)
- Office material as needed
