Job Details

Accountable for the meticulous preparation, thorough review, and timely filing of tax returns and associated forms. Focused on ensuring full compliance across various jurisdictions to mitigate potential tax-related risks. Proficiently handle payroll processing and undertake essential accounting and administrative responsibilities, providing invaluable support to the Payroll and Human Resources department.

Accountable for guaranteeing adherence to all local tax regulations and requirements. Offer expert tax guidance and support to the Proposal's Team, assisting them in navigating the intricacies of tax-related matters. Proactively handle the creation and renewal of registrations with relevant authorities such as the Department of Revenue, Taxation, and other applicable agencies. Effectively manage the issuance and oversight of Tax Exemption Certificates to vendors, ensuring proper documentation and compliance with applicable tax laws.
TAX RESPONSIBLITIES:
  • Review and ensure timely & accurate submission of local taxes, including but not limited to:
  • Sale/Use Tax, Excise Tax,, GRT, Franchise Tax, Business Licenses, Annual Reports Filings, Privilege Tax, etc.
  • Ensure all required registration and licenses are up to date within all States where the company has operations, including but not limited to: Department of Taxation, Department of Revenue, or equivalents, etc.
  • Issue and control Tax exemption certificates to vendors/subcontracts, in accordance with each State regulations. Renew Certificates
Contractors Licenses (follow up with Contracts Manager E. Rincon)
  • Provide tax guidance to the proposal team for quoting purpose. Get support from Somerset
  • Ensure timely payment of all Corporate Federal and State taxes. Coordinate with Somerset timely payment of returns, organize and save information in Box (signed returns, payment proof, cert mail)
  • Prepare and mail 1099 Forms
  • Review and answer IRS/Tax Notices. Support tax audits. Main contact with CPA Tax consultant
ACCOUNTING RESPONSBILITIES:
Provide valuable assistance to the Accounting department by supporting recurring closing activities. This includes essential tasks such as monthly amortizations, depreciations, accruals, fringes, and allocations. Maintain meticulous physical control over Corporate Vehicles, ensuring proper documentation and efficient management.
  • Check PayApp balance vs PO balance ties
  • Check PayApp retainage balance ties
  • AP Entry
  • Enters Subcontractors, Vendors and other invoices in Compass
  • Verify PayApp are properly prepared and support documents attached (COI, Lean Waiver, etc.). Reject invoices
  • 2) Account Payables
  • Review AP Aging report to identify unusual transactions, errors, etc.
  • Update Vendors bank information
  • Follow up issues with providers
  • Monthly closing activities
  • Track vehicles location and drivers
  • Update location info Foundation / Compass
  • Annual review of vehicle allocation rate
  • Annual vehicle registration renewal
  • Communicate about purchases and disposal!
  • Track personal use of corporate vehicles
Prepare and book the prepaid expenses amortization
  • Calculate and book the depreciation expense
  • Reconcile the fixed assets subledger with GL
  • Prepare and book monthly fringes and allocations
  • Keep control of Corporate Vehicles
REQUIREMENTS:
  • 3-5 year of job-related experience preferred
  • Tax Specialization
  • Bachelor’s degree in accounting and CPA (Certify Public Accountant)
  • Masters in Business and Administration (MBA) - Preferable
  • High proficient in Microsoft Office (Excel, Word and Power Point)
  • Experience with FAR (Federal Acquisition Regulation) / DCAA regulations (Defense Contract Audit Agency) preferred
  • Experience with Foundation and other accounting software preferred
