ESSENTIAL DUTIES AND RESPONSIBILITIES:

Reception Management Duties:
- Manages day-to-day operations of dental office.
- Opens and closes dental office according to office protocol.
- Reviews the office for a neat, professional appearance and make necessary changes.
- Checks the daily schedule for accuracy and post it in all treatment rooms.
- Answers and responds to telephone calls with professionalism.
- Reviews supplies for reception and provide order to Dr. Tarlan Akhavan.
- Maintains petty cash.
- Ensures that Health Insurance Portability and Accountability Act (HIPAA) Notice of Privacy Practices Notice is on display.
Patient Management Duties:
- Maintains a professional reception area.
- Organizes patient education materials, etc.
- Greets and welcomes patients and visitors to the practice.
- Checks in patients according to office protocol, verifying and updating patient information.
- Manages recall and inactive patient system.
- Oversees patient relations and handles patient complaints, under Dr. Akhavan. indirect supervision.
- Helps explain office policy to patients.
- Confirms the next day’s appointments according to protocol and patient preferences.
- Schedules patients for efficient use of doctor and staff time.
- Checks patient quick-fill list to try to fill in cancellation and no-show appointment times.
- Collects payment from patients at the time of treatment.
- Makes follow-up appointments as needed.
- Prepares financial treatment plans and present plan options to patient at end of their appointment.
- Assists in the treatment room as needed.
Records Management Duties:
- Gathers and accurately record insurance information from patients.
- Sees that records are stored securely and handled in compliance with HIPAA privacy and security regulations.
- Files accurately patient information.
- Arranges patient charts and radiographs for the next day’s appointments.
- Tracks cases and referrals to and from other doctors.
Insurance Duties:
- Updates insurance information on all patients always.
- Submits treatment plans for predetermination of benefits.
- Prepares claim forms for patients with dental insurance.
- Organizes supporting materials for claim forms, such as radiographs or written narratives, as directed by Dr. S.
- Mails or electronically submits claim forms from office.
- Assists in the resolution of problems with third-party payers.
Inventory Management:
- Monitors inventory and orders dental office supplies as needed.
- Monitors and makes sure all dental office equipment is working properly.
