Job Details
Responsibilities
Monitor and manage the intercom system to facilitate communication within the office.
Assist in receiving and distributing mail and deliveries promptly and accurately.
Support office maintenance and repair tickets, ensuring timely resolution.
Support with vendors for various services such as pest control, TaskRabbit, etc.
Cascade office information to the Hubble team regarding visitors, maintenance, policies, etc.
Provide general troubleshooting support to staff for office-related issues.
Manage office supplies and equipment, including ordering and inventory management.
Coordinate and handle team lunches in a timely and efficient manner.
Drive office-related policy and process improvement initiatives to enhance efficiency and effectiveness.
Handle facilities-related emergency communication and response protocols.
Manage vendor relationships for headquarters-related services and supplies.
Plan team dinners, lunches, and happy hours to foster team bonding and morale.
Source vendors for various office needs, ensuring quality and cost-effectiveness.
Provide recommendations for creative office design and layout to enhance productivity and comfort.
Partner closely with the Operations team to manage ad-hoc project management tasks as assigned.
Support with recruitment scheduling process, including but not limited to: arranging interviews, coordinating with hiring managers and candidates, and managing interview logistics.
Required skills and qualifications
Two or more years of experience in office management.
Excellent written and verbal communication skills.
Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability.
Proficiency with Google Suite, Slack, and aptitude for learning new software and systems.
Attention to detail and problem-solving skills.
Ability to maintain the confidentiality of company information.
Excellent written and verbal communication skills.
Strong business acumen.
Must be able to lift up to 50lbs.
Preferred skills and qualifications
Experience in developing internal systems and processes.
Advanced computer skills and experience with online platforms.
Hospitality experience.
Facilities management experience.
HR experience.
Finance experience .
Experience with Greenhouse and Rippling is a huge plus.
